CRM for photographers

Run the studio, not the spreadsheet.

Your whole client lifecycle — inquiry, proposal, contract, shoot, gallery, payment — in one pipeline shaped like a photography business. Not another everything-tool you have to bend into one.

The journey

From “are you free in October?” to paid and delivered.

An inquiry lands from your IG bio form. The auto-reply goes out in seconds. A proposal follows in three clicks. Your client accepts, signs, and pays the deposit on one page. The shoot lands on your calendar. You mark it Delivered — and the gallery link and balance invoice go out together. Here is each step.

01 · Inquiry capture

The reply that wins the booking is the one sent in seconds.

Drop the StudioFlow inquiry form in your IG bio or send the share link. Every lead arrives in your pipeline with shoot type, date, and budget already structured — and the auto-reply goes out with your pricing guide before you've even put the camera down.

  • Embeddable form + share link for bios and DMs
  • Instant auto-reply with your pricing guide attached
  • Response-time tracking, because speed books weddings

02 · Pipeline board

One board, shaped like a photography business.

Inquiry → proposal → contract → shoot → gallery → payment. Every client is a card; every stage knows what should happen next. Stage automations do the admin when a card moves — drag a couple to Booked and the contract and deposit invoice go out without you opening another tab.

  • Stages that match how shoots actually progress
  • Automations fire on stage change — paperwork sends itself
  • See every open conversation, hold, and balance at a glance
Drag a card to Booked and the contract and deposit invoice go out on their own.

03 · Proposals & packages

A proposal in three clicks, not three evenings.

Build your packages once — coverage hours, deliverables, add-ons — then send a polished proposal from a template in three clicks. Date holds are availability-aware, so two inquiries can never book the same Saturday.

  • Package templates with hours, deliverables, and add-ons
  • Optional add-ons clients can select themselves
  • Availability-aware date hold while they decide

04 · Contracts & invoices

Accept, sign, and pay the deposit — on one page.

No PDF attachments, no “did you get my invoice?” Your client reviews the proposal, e-signs the contract, and settles the deposit in a single sitting. Deposit and balance schedules are built in, with reminders that go out so you never have to write the awkward email.

  • E-signatures with a full audit trail
  • Deposit / balance schedules per shoot type
  • Automatic, polite payment reminders

05 · Gallery delivery

Mark it Delivered — the gallery and balance invoice go out together.

A branded gallery link with a download PIN, favorites your clients can mark for albums and prints, and the print release attached — paired with the final invoice in the same email, automatically. Delivery day becomes the moment they fall in love with the work, not a Dropbox link.

  • Branded link, PIN-protected downloads
  • Favorites for album and print selection
  • Print release included, balance invoice attached

06 · Client records

Clients are households, not rows.

The couple you shot in 2024 becomes the family you photograph in 2027. StudioFlow keeps people as households — every shoot, gallery, contract, email, and payment in one continuous history — so repeat work feels personal, because it is.

  • Household records that grow with your clients
  • Full history: shoots, galleries, contracts, payments
  • Notes and preferences where you'll actually see them

The client gallery

Delivery day should feel like an exhibition, not a file transfer.

This is what your clients open: their names, your brand, the work full-bleed. Favorites, downloads, and the print release — one link, one PIN.

FAQ

The questions photographers actually ask.

How does the 14-day free trial work?

Every feature, every automation, for 14 days — no card to start. You can begin with a pre-filled demo studio to see the pipeline in motion, or import your own clients on day one. When the trial ends you pick a plan; nothing is deleted while you decide.

Can I cancel anytime?

Yes. Cancel in one click from billing settings — no emails, no retention calls. You keep full access until the end of the period you've already paid for, and you can export everything before you go. Details are in our Refund & Cancellation policy.

Can I get my data out? Is there lock-in?

Your client data belongs to you, full stop. Export clients, shoots, proposals, contracts, and invoices as CSV, and download your original gallery files, at any time — including during the trial and after cancellation. We never hold your business hostage.

Can my clients pay through StudioFlow?

Invoicing with deposit and balance schedules is built in today. Built-in payment processing — clients paying the deposit right on the proposal page with a card — is on the near-term roadmap and will carry a 1% booking fee on payments processed. Your StudioFlow subscription itself is billed by Polar, our merchant of record.

Is my data secure?

Data is encrypted in transit and at rest, access is role-scoped, and databases are continuously backed up. SOC 2 is in progress. Our Security page covers the specifics, including how to report a vulnerability.

Who is StudioFlow for?

Full-time solo photographers shooting roughly 20–150 jobs a year, and studios of two to five. If you live in weddings, portraits, families, branding, or events, the objects in StudioFlow — shoot types, galleries, print releases — already match how you work. It is not a generic agency tool you have to bend into shape.

How do seats work on the Studio plan?

Studio includes three seats with associate scheduling, so second shooters and editors see their own assignments without seeing your whole book. Need more than three? Write to us — larger-team pricing is simple and we'll set it up by hand.

What happens if a subscription payment fails?

We retry, email you, and give you a 3-day grace period to update your card before access pauses. Your data is never deleted because of a failed payment.

Spend the saved hours behind the camera.

Set up your pipeline tonight. Send your first proposal tomorrow. The admin runs itself from there.
